Splash Mail
Access webmail, manage passwords, forwarding and out-of-office replies.
Before you start
Splash Mail provides email on your own domain. You need a domain you control and an active email order. Your plan determines mailbox allowances and storage; use the current plans and your order for those limits. The Email workspace manages mailboxes, while webmail is where you read and send messages.
Open Email → Mailboxes. Check the address and status of each mailbox. Provisioning or pending is not the same as ready. Mailbox creation is tied to service provisioning; contact support for required mailbox changes if no creation control is offered.
Connect your domain
If DNS is managed externally, apply the MX and authentication records supplied for Splash Mail at that DNS provider. Keep other legitimate email senders accounted for. Do not delete all TXT records when changing email providers.
- Confirm that the mailbox is active and the mail records are correct.
- Open webmail from the workspace and sign in with the full mailbox address and its mailbox password.
- Send a message to a separate external inbox.
- Reply from that inbox and check the response arrives in webmail.
- Check spam folders and any delivery error if either direction fails.
Your Splash Nodes account password and mailbox password can be different. Do not cancel an old mailbox until you have preserved its messages and tested the replacement.
Passwords and apps
For an active mailbox, use its password control in Mailboxes. Enter and confirm the new password, then save. Update the password in webmail and every mail app that uses that mailbox; an app with an old password may keep failing in the background.
In Outlook, Apple Mail or another mail app, add an account and choose Other or IMAP, then enter these Splash Mail settings:
- Username: your complete mailbox email address, for both incoming and outgoing mail.
- Password: your mailbox password, which may differ from your Splash Nodes account password.
- Incoming mail (IMAP):
inbox.splashnodes.com, port993, with SSL/TLS. - Outgoing mail (SMTP):
inbox.splashnodes.com, port465, with SSL/TLS. Alternatively, use port587with STARTTLS. - Outgoing authentication: enable sign-in and use the same complete mailbox address and password.
Save the account, send a message to a separate inbox and reply to it to test both directions. Follow any account-specific settings in your welcome email if they differ. If webmail works but the app does not, compare the username, security mode and ports first. Keep the exact app error and ask support; never send your password.
Forwarding
- In Forwarding, choose the source in From mailbox.
- Enter the destination in Forward to and check it carefully.
- Select Keep a copy in this mailbox if you also want messages retained in the original mailbox.
- Choose Add forward. Check the rule and its status in the list.
- Send a new test message from a separate account and confirm it reaches the intended destination.
Avoid forwarding loops: do not forward two addresses back to each other. Forwarding is not an archive of old messages. To stop a rule, choose Remove on that rule and test again.
Out of office
Select the relevant mailbox using the mailbox selector, then open the Out of office section. Enter a subject and message, check Switched on and choose Save. Keep the message useful: when you expect to return and an alternative contact route are usually enough.
Review the resulting status. A pending change may need the team to apply it before it takes effect. Test from another address once active. After returning, clear Switched on and save again; do not assume the reply ends automatically.
Problems
Review the usage bar in Mailboxes. If storage is close to the limit, archive important mail before removing unnecessary messages and clearing deleted items. Ask about the appropriate plan if you need more capacity.
Cannot sign in: check the complete address and mailbox password. Can send but cannot receive: check MX records, quota and forwarding. Messages land in spam: check authentication records and the recipient’s delivery result. Pending or failed: note the status and any error instead of repeatedly creating rules.
Give support the mailbox, time, sender and recipient addresses and any bounce message. Remove passwords and unrelated private message content.
